Position Purpose

  • Manage all Soft Facility services for with our IFM partner, external parties, and internal departments.

  • Main point of contact between BMS, subcontractors and BMS-employees.

  • Assure minimal impact to production while complying with GMPs at Leiden’s manufacturing plant and training facility.

  • Best in class performance in Hospitality and Cleaning.

Requirements (Knowledge, Skills, and Abilities)

Education

  • Minimum MBO-4 level in Facility Management
  • Preferably 5 years field experience in managing a team for facility soft services.
  • Experience in GXP cleaning environment, Hospitality services (Reception & Catering), Gowning and Pest control programs.

Experience

  • Guides the team with attention and enthusiasm to realize together practical solutions.
  • Unwavering commitment to implement and follow Cleaning, Security, Safety and Pest control protocols and best available work practices.
  • keep helicopter view of daily facility operations but has also attention to detail.
  • experience preferred in Emergency Response (BHV), Fire control and Security Management
  • Knowledge of setting up Standard Operating Procedures, EOHSS and Quality requirements in a US Corporate driven pharmaceutical environment.
  • Able to review critically the IFM partner and supplier’s performance to deliver best possible results while benchmarking these with alternative parties.
  • Self-motivated, pro-active, and service minded attitude.
  • Demonstrated successful working in a high-performing, business results-driven environment with a widespread international cultural variety.

Roles and Responsibilities (General)

  • Responsible for compliant and effective programs for cleaning, Hospitality management, Gowning and Pest Control.
  • Takes the lead for Office Management (Occupancy) and Waste Management.
  • Works closely together with other Facility Supervisor and is backup for his Safety and Security roles.
  • Streamlines facility communications.

Roles and Responsibilities (Specific per key area)

Hospitality

  • Help developing a culture of warm welcome to employees & visitors and contractors.
  • Help developing proactive work attitude amongst the facility team also to avoid running behind.
  • Is connector in finding the right parties to organize specific events which will add positive cultural and wellness aspects to daily working experience.
  • Coordinate VIP visits.

Cleaning

  • Manage all daily cleaning operations in line with company required quality guidelines and deliver optimum support and wellbeing in relation to the users.
  • Guide cleaning in the labs, around manufacturing areas according relevant EOHSS/Quality and GXP requirements.
  • Work with best and safest cleaning products in relation to the Industrial Hygiene protocols with minimum impact on the environment
  • Help setting up cleaning protocols for CTF with IFM partner.
  • Make sure delivery of major contract on clean garments(gowning) is well managed in all what ‘s needed in the GXP environment.

Safety & Security

  • Manages as backup all Security and Safety related topics in close cooperation with the external Security team & man guard. This involves badge control, CCTV, surveillance and maintenance of critical security hardware.
  • Make sure Security personnel is well trained and has a professional and integer performance.
  • Stand in for close cooperation between Reception and Security guard.
  • Overview on-and offboarding procedures.
  • Controls main building safety alarm procedures and escalating levels.
  • Work closely with EOHSS department and IFM partner on safety at work especially on work of contractors via work permit system.

Support

  • Monitor performance on site of various suppliers and assess and improve their performance via clear communicated KPI’s and SLA’s.
  • Monitor and measure all service requests of BMS local IFM partner.
  • Liaise on a regular time (min. once a week) with Sr. Facility Manager BMS and keep record of agreed objectives & tasks & budgets.
  • Coordinates major activities including scheduled projects & working with key stakeholders.
  • Work in diverse internal teams to develop better processes and procedures to support the common BMS objectives.
  • Make sure office supplies stock is well organized and controls all Facility Storage rooms.
  • Makes sure absence of team members is well covered to continue daily operations.

Property

  • Make sure all daily facility operations regarding building usage run smoothly and overlook technical issues with relevant stakeholders to create minimum disruption.
  • Controls key management including cupboards.
  • Manages all external contractor repairs including relevant work permits in close cooperation with EOHSS department.
  • Responsible for pest control program according BMS guidelines.                
  •  Responsible for maintaining the facility in compliance with local, county, state, and local regulations. Interact with Regulatory Agencies
  • Manage optimum facility usage and occupancy.
  • Control Facility during various weather conditions, including snow and ice protocol.
  • Manages maintenance tasks and interruptions in close cooperation with other F&E stakeholders and operational departments.
  • Oversee the work of outside vendors and review all service reports for accuracy in accordance with current SOPs and Good Documentation Practices.
  • Adhere to all safety procedures and practices effecting building facilities and utilities.

Working Conditions: In principle 8 hours a day preferably between 07:30 -17:30 – must be flexible when needed for special events & meetings. Call on duty can become effective for this role.
